Passing on availability: Your team fills it in without you chasing anyone
In the app someone taps a day and says whether it works, and between which times. Anyone who works the same days every week puts that down once as a repeat. You decide up front what you want to know: when people can work, when they cannot, or both. There is no list going round for you to keep up to date.
Deadline: You know it is complete before you start
You set a deadline for the period you are about to plan, Friday 18:00 for the week after, say. Everyone gets a notification the moment you create it, and in the app it sits above the week. The availability report shows you per person how many days are still not filled in. You speak to one person instead of fourteen.

School timetable: Students fill in their timetable once
The app has a separate tab for school: the class hours per weekday, and the school holidays underneath. From then on those days show School with the times, instead of an empty cell. In a holiday week it shows the name of the holiday, because free from school is not free from work — those are exactly the weeks you can count on them.
Limits: Not everyone can have the same Saturday off
Per job you set how many people may be unavailable on a day, and how many days someone may be unavailable per week or per month. Anyone who goes over it hears so in the app, the moment they fill it in. For New Year's Eve you block the day outright, so nobody can put it down at all. You never have to say no yourself.
